Post Language Program Assistant

Location: Arlington, VA

We are looking for a professional, experienced Post Language Program Assistant to join our team! 


Individual will be responsible supporting the Post Language Program (PLP) through management of funds and communication with Post Language Officers, and Management Officers, as necessary. Other duties include:


  •  Track funding to PLP posts: Incumbent sends and tracks funding award information from the PLP office through SLS/Admin   and FSI/BUD then releases fiscal data to posts.
  •  Monitor GFMS for PLP funds: Routinely surveys PLP GFMS funding reports to ensure posts are expending FY funds in   accordance with program policies and procedures. Also audits funds to prevent unliquidated obligations beyond the fiscal   year. Run multiple types of GFMS reports to track funding used by posts. Extract key data from large reports.
  •  Post Language Officer (PLO) course tracking: In accordance with PLP policy, ensures all PLOs have taken the PLO online   course prior to posts receiving program funds.
  •  Post Language Officer tracking: Tracks changes in Post Language Officers and updates lists accordingly. Communicates   with  posts when we donít have the name of a new PLO. Updates website weekly with new PLO list using FSIís Content   Management System.
  •  PLP website: Updates website using FSIís Content Management System as instructed by the Post Language Program   Coordinator.
  •  Correspondence/emails: The incumbent releases cleared record emails to posts receiving funds for PLPs and/or Post   Language Instructor workshops. Incumbent also drafts correspondence with PLOs worldwide concerning a wide variety of   non-standard situations where communication must be tailored to postsí specific situations.
  •  Liaises with FSI/IRM/BUD: As the primary point of contact with BUD, the position holder ensures all fiscal transactions are   completed as necessary and coordinates resolution of all discrepancies.
  •  PLP proposals: The incumbent receives all PLP funding for proposals and reviews for completeness and accuracy.   Hardcopies of proposals are organized by geographical bureau for review by PLP Coordinator, Unit Head, and Associate   Dean for Management. The incumbent communicates with posts and tracks correspondence concerning questions FSI has   about postsí proposals.
  •  Online Language Learning: Responsible for managing all elements of the online language learning resource, including   establishing and canceling accounts, tracking usage, and interfacing with vendor to resolve any issues.
  •  Other duties as assigned, including one-off projects in support of SLS programs and initiatives.


  •  Active Secret Clearance
  •  Bachelorís Degree highly preferred
  •  Three years of experience in a related field
  •  Work experience in an educational or training institute, highly desired
  •  Skills or experience relevant to the particular training division, preferred
  •  Ability to work collaboratively as a member of a team
  •  Strong organizational skills and the ability to meets deadlines
  •  Strong customer service skills
  •  Effective oral and written communication skills
  •  Ability to interact effectively in a multicultural setting
  •  Ability to manipulate information in existing databases
  •  Familiar with or the ability to learn survey research software, databases and reference materials to collect information
  •  Ability to follow technical direction as delivered by the government technical monitor and/or government staff members
  •  Experience using Microsoft Office suite of programs
